Registration Policies

Cancellation and Refunds

All cancellation requests must be submitted to RID no later than 11:59 p.m. ET on Tuesday, July 11. No refunds will be granted after this date. To cancel your conference registration, you must submit a written notice via email to Registration@rid.org. A refund will then be issued minus a $75 administrative fee.

Transfers from in-person to on-demand will incur an administrative fee of $50.

No Shows

If you do not cancel in writing by 11:59 p.m. ET on July 11, and you do not attend, no refund will be granted. There will be no transfer of the in-person registration to the virtual registration after July 1.

Conference Policies

Americans With Disabilities Act (ADA): Guests With Disabilities

The Hyatt Regency hotel complies with the requirements specified by the ADA.

The Hyatt Regency is committed to providing superior service to all patrons and works closely with event organizers to provide reasonable measures to accommodate guests with disabilities.

Animals

Live animals are prohibited within the Hyatt Regency, other than animal(s) that serve a guide or service function as defined by the ADA. The ADA defines service animals as dogs that are individually trained to do work or perform tasks for people with disabilities.

Firearms and Weapons

Firearms and weapons are prohibited at the 2025 RID National Conference.

Name Badges

Registered Attendees: Registered attendees must wear their official conference name badge at all times to access conference events. 

Guests of Registered Attendees: Guests of registered attendees are not permitted to attend any workshops or conference-related activities with the exception of the scheduled Gala, which requires all guests to purchase a ticket.

Children

Children, including infants, under the age of 16 are not allowed in conference sessions or the Exhibit Hall due to safety concerns, photography, recording and maintaining an appropriate learning environment.

Child Care

RID does not arrange or provide child care services during the national conference.

Conference Attire

Attire for the RID National Conference is business casual. The Hyatt Regency strives to keep rooms at a comfortable temperature, but layered clothing is strongly suggested. Comfortable shoes are highly recommended.

On-Site Payment

Payment at RID events must be made with a credit card. Cash payments will not be accepted. 

Smoking

Smoking is prohibited in the Hyatt Regency. This includes traditional cigarettes, cigars, vaping devices and e-cigarettes.

Standing and Sitting in Classrooms

Sitting in chairs is required in classrooms for the majority of presentations due to Fire Marshal regulations. Sitting on floors is not permitted. Standing is very limited and not allowed unless there is a hands-on or networking portion of the session, or you have a medical or health condition. Please kindly inform the session volunteers if you have a medical or health condition and need to stand during part of a session.

Health Precautions

By submitting an attendee registration, attendee consents to participate in the 2025 RID National Conference. Exhibitor Attendee understands and agrees to adhere to any RID; Centers for Disease Control and Prevention; and local guidelines or regulations related to any infectious disease, including but not limited to COVID-19, and Type A H5N1, in place at the time of the event. Attendee acknowledges and agrees that they are fully responsible for their own safety and actions while participating in the 2025 RID National Conference and recognizes that they may be at risk of contracting COVID-19 or Type A H5N1 through no fault of RID or The Hyatt Regency.

With full knowledge of the risks involved, attendee hereby releases, waives, covenants not to sue, and further agrees to indemnify, defend, and hold harmless the Released Parties from any and all liabilities, claims, demands, actions, causes of action, costs, expenses, damages, and lawsuits whatsoever, directly or indirectly arising out of or related to any loss, damage, injury, or death, that may be sustained by attendee, while participating in any activity while in, on, or around the premises or while using the facilities.
